As an Administrative Assistant in our team, you will provide day-to-day administrative support to management and a broader organization of 200+ team members. You will coordinate complex schedules and logistics and serve as a trusted point of contact for internal stakeholders. You will help the organization operate efficiently by anticipating needs, managing competing priorities, and supporting smooth execution across a dynamic environment.
Job Responsibilities
- Manage calendars for senior management, including prioritization, scheduling, and conflict resolution
- Coordinate internal and external meetings, including conference rooms, logistics, and last-minute schedule changes
- Prepare, track, and follow up on correspondence and inquiries on behalf of leadership
- Arrange business travel and maintain detailed itineraries for staff and visitors
- Reconcile and submit expense reports in line with applicable policies and timelines
- Support office operations by monitoring supplies and coordinating with facilities as needed
- Handle sensitive and confidential information with discretion and sound judgment
- Build effective working relationships across stakeholders and serve as a reliable point of contact for the team, evidencing a consistently constructive partnership style.
- Identify operational issues and escalate risks or concerns appropriately
- Support peers and assist with overflow, special projects, and time-sensitive administrative needs
Required Qualifications, Capabilities, and Skills
- Bachelor’s degree or equivalent professional experience
- Minimum 5 years of administrative experience supporting senior leaders or large teams
- Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
- Experience using expense management tools such as SAP Concur or similar platforms
- Strong written and verbal communication skills with professional etiquette
- Strong interpersonal skills with the ability to interact effectively with senior management
- Strong organizational skills with the ability to prioritize and manage multiple competing deadlines
- Fluency in English and Spanish
- Ability to adapt to changing priorities and perform effectively under time pressure
Preferred Qualifications, Capabilities, and Skills
- Experience supporting Director-level executives or equivalent senior stakeholders
- Experience coordinating large-group meetings, town halls, or events
- Experience using internal enterprise tools and learning new systems quickly
- Demonstrated ability to improve administrative processes and workflows
- Experience supporting teams across multiple locations or time zones
